How we use your data

The personal information we process is to enable the Event Safety Advisory Group (ESAG) to provide you with event safety advice and guidance.

Categories of personal data

In order to carry out these purposes we collect and obtain:

  • Event Organiser contact details such as name, address, telephone number, and email addresses
  • Event documentation including event safety plans, contacts, risk assessments, site information, safety and insurance certificates, and licensing information
  • Previous involvement with running events including any feedback provided following previous events.

We do not collect any special category or criminal data.

Legal basis for processing

Under Article 6 of the UK General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

  • We need it to perform a public task.

Information sharing

Your data is shared internally only with the appropriate staff where it is necessary for the performance of their roles.

Your data may also be shared externally with organisations to ensure that partners are aware and have access to event documentation for upcoming events and they can provide you with any specific event safety advice and guidance. These may include, but not be limited to:

  • Greater Manchester Police
  • Greater Manchester Fire and Rescue Service
  • North West Ambulance Service

Apart from where previously stated, we do not pass your details to third parties unless we are lawfully required do so.

Where we get our information

The personal information we process is provided to us directly by you.

  • Initial event enquiries received from the event organiser by email or telephone
  • Receipt of ESAG Event Notification form received from the event organiser by email (esag@bury.gov.uk)
  • Event documentation (Event Management Plan/Risk Assessments/Insurance certificates and licensing information) received from the event organiser by email (esag@bury.gov.uk)
  • We receive personal information indirectly from other Council Service Areas (Streetscene, Highways (Traffic), Public Protection (Environmental Health, Licensing and Trading Standards), Community Safety, Parks and Countryside and Democratic Services)
  • Information may also be passed on indirectly by Multi-Agency Partners when they are made aware of events taking place.

Automated decisions

All of the decisions we make about you involve human intervention.

Data retention

We will only keep your personal information for as long as the law specifies or where the law does not specify this, for the length of time determined by our business requirements.
