Pupil Records

The requirement for the keeping of pupil records is covered in the Education (Pupil Information) (England) Regulations 2000 Link to external website(Statutory Instrument 2000 (No 297) this links to an external website).

There are two different categories of records kept in schools - Curricular and Educational.
  • Curricular Records
These are a formal record of a pupil's academic achievements, their skills and abilities and the progress they make at a school.  The school is obliged to keep a curricular record for every pupil and on transfer to another school, these records have to be forwarded to the receiving school within fifteen days.
  • Educational Records
Educational Records are classed as "any record of information relating to a present or former pupil at a school" and copies of reports on individual pupils must form part of these records.  Information kept by a teacher solely for their own use is excluded from this requirement.
 
Access to Information

All schools in Bury adopted the Information Commissioner's Model Publication Scheme relating to the Freedom of Information Act 2000 and this scheme sets out the procedure for accessing information.  A school has to make its publication scheme available and if you want to see a copy of the scheme or you want to make an application to have copies of any records, you will need to write to the appropriate school.  A list of the names and addresses of schools in Bury can be found on our website.
 
Preservation of Records

It is recommended that a primary pupils' education record is retained for the time which the pupil remains at the primary school.  The record should then be transferred to the secondary school (or other primary school) when the child leaves the school.  In the case of exclusion it may be appropriate to transfer the record to the Behaviour Service.
 
It is recommended that a secondary pupils' education record is retained until the child is 25 years of age.
 
Attendance registers need to be retained for a minimum of three years and the admissions register retained for a minimum of six years.
